  • Contract: 2 Part time positions available, 32 hours per week, 4 days per week scheduled Saturday to Sunday.

The Building Assistant will be responsible for the repair and upkeep of Japan House London’s premises, facilities, systems, services and procedures to the highest standard. The post- holder will support the Head of Building Services and the Building Co-ordinator in the effective, efficient, and safe operation of Japan House as a public venue, always ensuring the very highest standards are maintained by all staff and third-party contractors.

Key Duties

General Activities
  • Carry out and support contractors in carrying out the planned preventative maintenance programme and housekeeping programme in line with indicative frequencies set out by the installers and suppliers to maintain Japan House to the highest possible standard.
  • ​Maintain and upkeep facilities and the building management system (BMS) to a high standard.​
  • Respond to employee repair and maintenance tickets in a timely manner in line with the set KPI’s.​
  • Undertake proactive maintenance and carry out minor repairs within the building, where required. Carrying out regular inspections of facilities to identify any issues and plan any repairs or installations to resolve these issues.​
  • Ensure that any repairs, maintenance, and other minor works are delivered to the agreed drawings, specification, and schedule.​
  • Coordinate site logistics and access whilst liaising with relevant internal and external stakeholders.​
  • Be responsible for and liaise, appropriately, with contractors on the premises.​
  • Work closely with other occupants of Japan House, for example the retail concessionaire and the catering concessionaire to foster positive working relationships and to ensure compliance with Japan House’s operating procedures.​
  • Also, liaise with the landlord's building manager/loading bay manager and forge positive working relationships with other building tenants and occupants.​​
  • Liaise and coordinate works with the landlord’s subcontracted Facilities Management contractors.​
  • Ensure compliance with the landlord’s requirements for maintenance and access.​
  • Assist with unloading of deliveries and act as a porter to move deliveries around the building to their designated areas.​
  • Assist in the technical installation of exhibitions, including co-ordinating of technicians and specialists, where necessary.​
  • Work with the Head of Programming Projects, Programming Managers and Special Events Manager in successfully delivering the operational requirements for all special events and venue hire engagements.​
  • Assist in the set-up and operational delivery for all aspects of external hire events
Health, Safety and Security
  • Carry out assigned tasks and duties in a safe manner, in accordance with instructions, and to comply with safety rules/procedures, regulations and codes of practice.​
  • Support and maintain Japan House's statutory duties under the Regulatory Reform (Fire Safety) Order 2005.​
  • Liaise with other stakeholders within the building and ensure that tenants and concessionaires within the Japan House premises are appropriately trained and briefed.​
  • Carry out daily audits and reviews to ensure that fire detection and protection systems, all fire-fighting equipment and first aid equipment is maintained.​
  • To carry out risk assessments for any activity that might put others at risk.​
  • If aware of any unsafe practice or condition, or if in any doubt about the safety of any situation, consult the Head of Building Services.​
  • To follow Japan House London’s accident, near-miss, dangerous occurrence, or dangerous condition procedure. ​
  • To avoid improvised arrangements and suggest safe ways of eliminating hazards. ​
  • To ensure Japan House London’s Permit to Work procedures are followed before contractors carry out any works.​
  • Participate in emergency procedures such as building evacuations where required.​
  • Carry out site inductions for contractors and new staff.
